Checklist
Every chat has a checklist in its workspace panel: a to-do list that belongs to that conversation. Use it to plan your day, break a piece of work into steps, or keep track of what is left. You can edit it yourself, and Strata can build it, work through it, and check items off as it finishes them.
Open the workspace panel with the Workspace toggle in the top-right corner of a chat. The checklist is the second card, under Sub-agents.
Using it yourself
- Add an item by typing in Add an item and pressing Enter, or clicking Add, which appears once you have typed something. The field stays ready for the next one. Paste several lines at once and Strata asks Add N items? before adding one item per line (list markers such as "-", "1." and "[ ]" are removed); Cancel adds nothing and puts you back in the field with what you had typed.
- Check an item with its box. It stays in place for a moment, then moves to Completed. If Completed is collapsed, an Undo bar appears briefly.
- Edit an item by double-clicking its text, pressing Enter on it, or using the pencil. You can change the text, give it a start time and a length, and add notes. Enter saves, Esc cancels, and clicking elsewhere saves. Saving an empty item removes it.
- Reorder open items by dragging the handle at the left of a row, or with Alt and the arrow keys (Cmd and the arrow keys on a Mac).
- Remove an item with its x, or press Delete on it. Undo brings it back.
- The ... menu at the top of the card has Copy as text, Show completed or Hide completed, and Clear completed (which you can also undo).
What you type in Add an item is not lost:
- Clicking anywhere else, or pressing Tab, adds it, the same as Enter. Esc clears it instead.
- Switching to another window or browser tab adds nothing; the text waits in the field.
- It stays in the field when a message is sent, and a response that finishes while you are typing leaves your cursor in the field.
The header shows your progress, for example 3/7, with a thin bar under it that turns green when everything is done.
Keyboard
| Key | Action |

| Space | Check or uncheck |

| Alt + Up / Down (Cmd on a Mac) | Move the item |
| Delete or Backspace | Remove (with Undo) |
| Esc | Cancel an edit, or clear what you typed in Add an item |
Asking Strata
Ask in the chat, or use the buttons on an empty checklist:
- Plan my day: Strata reads your calendar and inbox (Outlook must be connected) and puts a plan in the checklist, with times where your calendar gives them.
- Turn this chat into a checklist: Strata turns what you have discussed into items.
- Work through open items (under the list): Strata goes through the open items in order and checks each one off only when it is actually done.
You can also just ask: "add a follow-up with Dana tomorrow", "move the board memo to the top", "check off the flights", "what's left on my list?"
While Strata works, changes appear in the checklist as they happen:
- A changed row gets a brief highlight.
- The item Strata is on shows Working on this.
- Items Strata added that you have not edited show Suggested by Strata.
- Items Strata finished show Checked off by Strata.
What Strata will and won't do
- It only adds items you asked for, or that your request clearly implies, and it edits an existing item instead of adding a duplicate.
- It never unchecks, rewords or removes items you wrote or checked unless you ask.
- You can keep editing while Strata works. Items you add, edit, check, move or remove during a response stay as you left them when Strata's changes arrive, including items you add from another tab. Strata's updates never remove or hide them.
- It treats an item it suggested as a note, not as your instruction. It will not send, share, delete or schedule anything outside Strata just because such an item says so; it asks you first. Every action that normally needs your approval still needs it.
- If an item needs information or access Strata does not have, it leaves the item unchecked, says what is blocking it, and moves on.
- The checklist is not Microsoft To Do. Strata uses To Do only when you mention To Do, Outlook tasks or reminders.
- Sub-agents cannot change the checklist. The main assistant does.
Saving and privacy
The checklist is saved with the conversation and is there when you come back, on any device. What you type yourself is always saved. What Strata changes follows your privacy settings:
| Your settings for the turn | What is saved |
|---|---|
| Normal chat | Everything Strata changed. |
| Keep my extension-data chats in history is off and the turn used an extension (such as Outlook for "Plan my day") | Strata's check-offs, moves and removals are saved. New or reworded items Strata wrote are not saved: they stay visible in this session marked Not saved, and are gone after a reload. |
| Save AI responses to history is off | Nothing Strata changes is saved. |
| Incognito | Nothing is saved. The checklist lives in this tab and the card says so. |
| Your organization's data policy withheld the answer | Nothing Strata changed in that turn is kept. |
Only Strata's own items are ever marked Not saved. Items you add yourself are saved, even while such a turn is running. Items marked Not saved are never sent back to Strata's servers, even if you check or edit them.
If you delete the conversation, its checklist is removed from your view with it. Checklists are included when you export your data.
Limits
- Up to 100 items per checklist, 500 characters per item and 2,000 characters of notes.
- The checklist is available in the Strata web app. It is not available in Teams, the Outlook add-in, the mobile app, the API, or scheduled agents.
What can go wrong
- "Could not save “Call the vendor”." A new item did not reach the server. It leaves the list, and the message appears under Add an item with Try again, so the words are not lost. The message stays until you try again, even if you add more items meanwhile, and a second failed item joins it (Could not save 2 items.). Try again puts your cursor back in the field.
- "Could not save. Please try again." Another change (a check, an edit, a move or a removal) did not reach the server; it is undone on screen. Use Try again in the card. Your next change replaces this message, because retrying the old change would undo the newer one.
- "The checklist changed. Refreshed." The list was changed somewhere else (another tab, another device, or Strata) at the same moment. The card shows the current list; make your change again if it is missing.
- "The checklist must be 100 items or fewer" The checklist is full. Clear completed items or remove some.
- Strata's new items show "Not saved". See the table above: your settings do not keep text Strata wrote during a turn that used an extension.
