Sharing
On this page
You can share a chat, a dashboard or a file Strata made with people in your organization: with chosen people, groups and roles, or with anyone in the organization who has the link. Projects are shared from the project itself (see Projects).
Nothing you share is public. Every share opens only for someone signed in to your organization, so a shared chat cannot be found by a search engine, opened by someone outside your organization, or read by anyone who merely has the address.
#Sharing a chat
Open the chat's menu (its title at the top, or the ⋮ beside it in the sidebar or on Your chats) and choose Share…. In the window that opens:
- Who it is shared with: type at least two letters to find people, groups and roles in your organization, and pick them. They are told in their Inbox (and by email, if your organization allows it: the email says who shared what kind of thing, never its title or any of its content).
- Anyone in the organization with the link: makes a link anyone in your organization can open after signing in. The link is shown once, when it is made: copy it then. To copy it again, make a New link; the old one stops working at once, also for people who opened it with that link.
- What they see: a Snapshot (the chat as it is now; Update shares what came later) or Live (the chat as it grows, even while they are reading it: see below).
- Let people continue it in a chat of their own: readers get Continue in a new chat, which copies the conversation into their own chats. Your chat never changes.
- Ends after: never, or after 7, 30 or 90 days (your organization can set a limit).
Choose Share. The window then shows when it was shared and how many times it was opened, and Stop sharing ends it: no one can open it any more and its link stops working.
#What a shared chat shows
The reader sees the conversation as you see it, drawn by the same chat: answers, charts, tables, code and dashboards. What it never shows:
- turns your privacy settings or your organization's retention did not keep, and turns your organization's policy withdrew;
- the files you uploaded (their names show, never the files);
- the queries Strata ran and their rows, and what a tool or connector returned along the way (the answer itself shows);
- incognito chats, which cannot be shared at all.
Files Strata made in the chat (a workbook, a report, a deck) can be downloaded from a shared chat; dashboards open in a preview.
#A live share, as it grows
A reader with a Live share open sees what is added to the chat appear without reloading: your new questions, Strata's answers, a turn withdrawn by your organization's policy, a new title. Reading at the end, the page follows the new messages; scrolled up, it stays where they are and a New messages button takes them down. While Strata is answering one of your questions, the share says Strata is answering… at the end, and the question and its answer appear together once the answer is done. A Snapshot never moves: it is the chat as it was when it was taken, until you Update it.
If you stop sharing, the share ends, or it is no longer shared with someone, a page they have open says the link is not available at once. A tab that is not in view does not check for changes, and checks as soon as it is back.
Before anything is shared, your organization's data policy reads what would be shared. It can refuse the share, or ask you to confirm first.
#Sharing a file
In the Library, open a file's menu or its preview and choose Share…. The same window opens.
#Sharing a dashboard
Choose Share… on the dashboard in its chat, on its own page, or in the Library (its menu or its preview). Under What they see, choose:
- Snapshot (the default): the dashboard as it is now, with the numbers you see. Nothing runs when someone opens it. Update shares newer numbers.
- Live: each time someone opens it, refreshes it or changes one of its filters, its database queries and Jira searches run again with your access, so they see current numbers. Parts that read your own mail, chats or files never run for someone else and are left out of a live share; a Snapshot includes them as you see them.
Readers see the dashboard on the share's page, with Full screen to open it larger.
A live dashboard follows your access as it is at that moment: if your organization stops you using a database or Jira, the parts that use it stop updating for your readers too, and a dashboard shared by someone who has left the organization no longer runs. Nothing of a reader's own data is ever handed to a dashboard someone else made, so a shared dashboard can show only what you chose to share. Before a dashboard is shared, your organization's data policy reads it, including the numbers a snapshot keeps.
#What was shared with you
- Your Inbox tells you when something is shared with you, by name or through a group or role you belong to.
- The Library's Shared with you filter lists everything shared with you.
- A link someone sent you opens after you sign in.
If a link says This link is not available, it may have been stopped or have ended, or it may not be shared with you: ask the person who sent it. The page does not say which, so a link that does not work tells nobody anything about what it was.
#Everything you share
Settings then Privacy then Shared by you lists every chat, file and dashboard you share: who can open it, how many times it was opened, when it ends. Manage opens its window; Stop sharing ends it.
#For administrators
Organization settings then Data and privacy then Projects and sharing:
| Setting | What it does |
|---|---|
| Sharing | Members can share chats, files and dashboards. Off, nothing new can be shared and every share stops opening until it is on again. |
| Links anyone in the organization can open | Off, a share opens only for the people, groups and roles it names, and the links already made stop working. |
| Email people when something is shared with them | Adds an email to the Inbox notice. Off by default. |
| Longest a share lasts | The longest a member can choose; none means a share lasts until it is stopped. |
See every share (the Shared links page) lists every live share in the organization: what it is, who shared it, who can open it, how many times it was opened and when it ends. Revoke stops one at once; Revoke all stops every one.
When a member reports something shared with them, as Harmful or offensive, Spam or misleading or Something else, every administrator gets an Inbox notice that names who reported it, who shared it, what kind of thing it is and why, never its title. Its button opens Shared links with that share marked, where Revoke stops it. A member reports from the Strata iPhone app, where they can also hide one item, or everything one person shares, on their own iPhone; the report is recorded in the audit log as share.reported.
Every share, change, stop, revoke and copy into a new chat is recorded in the audit log. Deleting a chat or a file stops its shares; a legal hold keeps what it covers; the organization's data export and deletion include shares.
#How sharing is kept private
- A share opens only for someone signed in to the same organization, and only for the people, groups and roles it names, its owner, or someone who opened its link.
- A link's secret is 32 random bytes, stored only as a hash. It travels after a # in the address, which browsers never send to a server, and the page swaps it for a plain address as soon as it opens, so it is in no server log and no "referrer" another site sees.
- Every share page and answer tells search engines not to index, follow, keep or quote it, and is never cached.
- Anything that cannot be opened (stopped, ended, not shared with you, the wrong link, another organization) gets the same answer, and repeated tries are slowed down.
